Privacy notice
Who is responsible
Iftikhar Habib, trading as Envoryn AI, a sole trader in the United Kingdom, is the controller of the personal information described here. Business address: 301 Lock Studios, 7 Corsican Square, London E3 3YD, United Kingdom. Contact: [email protected].
What information we receive
- Email: if you email us, we receive your email address and anything you choose to include.
- Chat and WhatsApp: if you use the chat assistant on this website or message our demo or business WhatsApp number, we receive the messages you send and, on WhatsApp, your WhatsApp profile name and number. Our assistant may ask for your name, business, the kind of help you need and a good time to talk.
- Website form: when the online enquiry form is switched on, it asks for your name, email address and a short outline, and optionally your business name and country. It uses a bot protection check.
- Clients: if we work together, we keep contact details, the agreed scope, invoices and payment records.
Please do not send passwords, payment card details, confidential client material or sensitive personal information (such as health details) in any message.
Why we use it and our lawful basis
- To reply to your enquiry, show you a demo and prepare a quote: steps you ask for before a possible contract, and our legitimate interest in answering business enquiries.
- To deliver and support a project we agree with you: performance of our contract.
- To keep business and accounting records: legal obligation.
- To keep our systems secure and prevent abuse: legitimate interests.
We do not add enquiry details to a marketing list, we do not send marketing messages on WhatsApp unless you have opted in, and we never sell personal information. We do not make decisions about you based solely on automated processing.
AI assistant on our website and WhatsApp
The chat assistant on this website and on our WhatsApp number is an AI assistant built by Envoryn, so you can see how our product works. It tells you it is an AI, it only uses information we have approved, and a member of our team can read the conversation and take over at any time. If you would rather speak to a person, just say so.
To answer you, the text of your messages is sent to our AI provider, Anthropic, which generates the reply. Anthropic acts as our service provider and does not use these messages to train its models. Chat conversations and any details you give (such as your name, business, email or the best time to call) are stored in our Cloudflare database so our team can follow up, and kept for 12 months after the last message, then deleted. If a message looks like a payment card number, it is removed automatically before it is stored or sent to the AI. The assistant does not make decisions about you; it only answers questions and passes your enquiry to our team.
Service providers we use
- Cloudflare: hosts this website and our enquiry service. Website requests may be processed for security (for example IP address and browser details). Enquiries sent through the form are stored in a Cloudflare database located in the European Union and copied to our business computer so we can manage them.
- Anthropic: provides the AI model that writes our assistant's replies on this website and on WhatsApp. Messages may be processed in the United States.
- Meta (WhatsApp): delivers WhatsApp messages to and from our business number through the official WhatsApp Business Platform.
- Google: provides our business email.
- Stripe and PayPal: process card and PayPal payments for client invoices.
Each provider processes information under its own terms and privacy notice. Some providers may process information outside the UK; where they do, we rely on the safeguards the provider offers for international transfers, such as the UK International Data Transfer Addendum or an adequacy decision.
Cookies
This website does not use advertising or analytics cookies. Our chat assistant only starts when you click the chat button. Once you send a message, it keeps a session reference and a copy of the conversation in your browser's session storage, which is cleared when you close the tab, so the chat continues if you reload the page. When you first send a message, Cloudflare's bot protection check may use strictly necessary technical signals to stop automated abuse. When the online form is switched on, Cloudflare's bot protection check may use strictly necessary technical signals to keep the form safe.
Payments
If you become a client, you pay by invoice using Wise or bank transfer, PayPal, or card through a secure Stripe payment page, as shown on the invoice. Card details are entered on Stripe's own page; we never receive or store full card numbers or security codes. Stripe and PayPal tell us the amount, currency, invoice number and the payer's name and email so we can match the payment to your invoice.
How long we keep information
We delete enquiries that do not become client work 12 months after the last meaningful contact, unless we need the record to handle an unresolved matter or legal claim. Client, contract and accounting records are kept for as long as needed to deliver the work and meet legal obligations. For a UK self employed business, tax records must be kept for at least five years after the relevant 31 January Self Assessment deadline; see the official HMRC guidance. Our automatic backups are kept for 30 days.
Client systems and customer information
When we build an assistant for a client, the accounts are in the client's name and the client decides how its customers' information is used. Before any work involving that information, we agree in writing the purpose, access, retention and our processor terms.
Your rights and contact
You can ask us for a copy of your information, or ask us to correct, delete or restrict it, or object to how we use it, by emailing [email protected]. We will reply within one month. If you are unhappy with how we handle your information, you can complain to the UK Information Commissioner's Office at on the ICO website.
Changes
We will update this notice when our services or the way we handle information change, and show the date of the latest version at the top.
